Vehicle Reservation
Offices and organizations may reserve University vehicles by completing a vehicle reservation form and emailing it to Student Activities. Before submitting an application, check available dates using the online calendar. There is a per-mile cost which includes fuel. Drivers must be approved by Safety Services. If you will be using a Student Activities vehicle in the near future, this page contains important information regarding the use of these vehicles. Failure to adhere to any of these guidelines may result in the loss of vehicle privileges. This is not a complete list of rules and guidelines, but a brief reminder of several important points.

Please do not use a vehicle that appears to be unsafe or in need of repair.
Someone may be using the vehicle immediately after you. Return the vehicle to the reserved parking space by the end of your reservation time. Before returning a vehicle, clean all spills and remove all trash. No smoking and no pets allowed in the vehicles.
Locations
Pick up vehicle keys at Student Activities. If you plan to depart early in the morning, please pick up the key the previous day. Check with Student Activities to be sure the office will be open on the day you plan to check out a vehicle. Vehicles are parked in reserved spots behind the Commons, in front of the Steam Plant.
Drivers
Only those persons approved by Safety and Risk Management to drive University vehicles may drive a Student Activities vehicle.
Passenger Roster
Before departing, Student Activities must have a list of all vehicle passengers. You may either email the list to John O’Donnell, submit the list to the desk when you check out the key, or drop the list in the drop box near the vehicle's parking space
Mileage
You must keep track of your mileage. Your organization will be charged 50.5 cents per mile. Gas is included in the cost. Fill in the OUT mileage before you leave, and the IN mileage when you return using the vehicle’s odometer, not the trip meter. Check the van before and after use and note any problems or damage on the mileage form.
Gas
We try to keep the gas tanks full, but given the frequent use of the vehicles you may get stuck with a low fuel tank. If necessary, please re-fuel with regular unleaded gasoline. (You are not expected to return the vehicle with a full tank.) Student Activities will subtract your gas expenses from your mileage expense. Provide Student Activities with a digital copy of the receipt. Keep the original to be reimbursed by your organization or department.
Seatbelts
Virginia State Law requires use of seatbelts. The driver is responsible for reminding passengers.
Clean Vehicles
We appreciate every effort you can make to keep our vehicles clean. Please explain this to your passengers. Before returning a vehicle, please clean all spills and remove all trash. No smoking and no pets allowed in the vehicles.
Parking
When returning the vehicle, you may find unauthorized vehicles in the reserved parking spaces. If there are no other empty spots in the Steam Plant/Commons lot, please park elsewhere and notify Student Activities as to the location of the vehicle. Do not "create" a parking space for the vehicle.
Information
Insurance, registration, and accident reporting information is in each vehicle. Check the center console, glove compartment, and sun visor.
